Show Me Your Process & I’ll Show You Mine.

Show Me Your Process & I’ll Show You Mine.

If your entire business lives inside your head, congratulations. You are both the CEO and the server.

There is a very specific conversation I have with VAs who come to me because they're exhausted.

They're working.

Clients are happy.

Their calendar is full.

Money is coming in.

From the outside, everything looks pretty damn good.

Then I ask one question:

“Show me how you do it.”

And suddenly...

Silence.

Because apparently the system is Monica's favorite cloud storage solution:

The human brain.

Baby, Show Me Everything

Walk me through one thing you do several times a week.

That's it.

Pick one.

Client onboarding.

Content creation.

Lead generation.

Scheduling.

Reporting.

Whatever.

Now show me exactly how you do it.

Where do you start?

What happens next?

Where does the information come from?

What do you open?

What do you check?

How do you know when you're finished?

This is usually where we discover the process is something like:

“Well, first I check my email. Unless they sent it in Slack. Sometimes it's in Drive. Then I usually remember that I need to...”

Ma'am.

We've been talking for three minutes and I'm already tired.

Your Brain Has Been Working Overtime

A lot of us get really good at doing things badly.

And I don't mean the work itself is bad.

The work might be excellent.

You're fast.

Clients love you.

You've done the task so many times you could probably do it with your eyes closed and one hand tied behind your back.

That's exactly how the problem hides.

Muscle memory starts masquerading as a system.

You know what to do because you've done it 600 times.

But nothing is actually holding the process together.

You are.

Remove you?

Good fucking luck.

I Built My Business Like This Too

I'm not judging anybody.

I was her.

Clients were getting what they needed.

Work was getting done.

But onboarding lived in my head.

Follow-up lived in my head.

Content processes lived in my head.

Half the business was basically being powered by:

“Don't worry, I'll remember.”

Which is adorable until you're managing multiple clients, growing a team, building another offer, answering messages, trying to have a personal life, and waking up at 2:13 AM because your brain suddenly remembered something you forgot to do Tuesday.

That's when I realized something.

My memory was not a business operating system.

If You Do It Twice, Start Writing That Shit Down

This is where things changed for me.

I stopped waiting until I had the perfect process.

I started capturing what I was already doing.

Messy.

Incomplete.

Half-assed.

Didn't matter.

If I did something repeatedly, I wrote it down.

Because once something exists outside your head, you can actually look at it.

And once you can look at it?

Oh, honey.

Now we can work with it.

Your First SOP Can Be Ugly

I think this is where people make documentation harder than it needs to be.

They hear “process” and suddenly imagine a 37-page corporate SOP with flowcharts, color coding, version history, and somebody named Deborah approving revisions.

No.

Open a document.

Write:

First I do this.

Then this.

Then I check this.

Then I send this.

Done.

Your first version doesn't need to be pretty.

It needs to exist.

Because an ugly process can be improved.

An imaginary one cannot.

Now Show Me Where It Hurts

Once the process is visible, the interesting stuff starts showing up.

Why are you entering the same information three times?

Why are you opening six different tools?

Why does every client get onboarded differently?

Why are you rewriting the same email every Friday?

Why does creating one Instagram post require seventeen tabs, two prayers, and a snack?

There it is.

That's the shit you couldn't see when everything was happening automatically inside your head.

You weren't necessarily overwhelmed by the amount of work.

Sometimes you were overwhelmed by the way the work was being done.

Big difference.

Content Is a Perfect Example

You can have great ideas.

Know exactly what your client wants to say.

Understand their audience.

Know their voice.

Then content day arrives and suddenly you're recreating civilization from scratch.

Where are the notes?

What happened this week?

What are we promoting?

What did we post last month?

Where's that interview?

What was that story they told me on Tuesday?

Now you've got tabs everywhere.

Documents everywhere.

Ideas everywhere.

And every piece of content feels heavier than it should.

The problem isn't creativity.

There's no repeatable way to get from idea to finished post.

Build that bridge once and suddenly you don't have to swim across the damn river every week.

And Then There's AI

This is where people want AI to perform a little miracle.

“Can AI build my workflow?”

Baby...

What workflow?

AI can support a process.

It can help organize one.

Strengthen one.

Speed parts of it up.

Help you turn what you've documented into templates, prompts, checklists, or instructions.

But if your process is basically:

“I don't know, I just kinda do it...”

AI has nothing solid to work with.

Garbage in.

Confused robot out.

Define how you work first.

Then give AI somewhere useful to plug in.

This Is Where Scaling Actually Starts

Scaling isn't doing more shit faster.

At some point, somebody besides you needs to understand how the work gets done.

Maybe that's an assistant.

Maybe it's a contractor.

Maybe it's AI.

Maybe it's Future You, who would greatly appreciate not having to reconstruct Present You's thought process six months from now.

Your process is what makes that possible.

It turns:

“I know how to do this.”

into:

“This is how we do this.”

That's a business.

Show Me Yours

So here's my favorite little exercise.

Pick one thing you do several times every week.

Don't improve it yet.

Don't buy another tool.

Don't build some elaborate Notion dashboard.

Just document what you actually do.

Every click.

Every decision.

Every handoff.

Every weird workaround.

Every place you have to stop and remember what comes next.

Show me the real process.

Not the pretty one you think you're supposed to have.

Because that's where your magic is hiding.

And once we can see it?

Then we can make it better.

CURRENT MOOD

“This Lil’ Game We Play” by Subway featuring 702.

This is almost too perfect.

Because this entire blog is me asking:

Show me what you got.

Show me how you work.

Show me where you start.

Show me where everything gets messy.

Then it's my turn.

I'll show you how I take that thing you've been carrying around in your head and turn it into something you can actually use.

Your move, baby.

PEAK OF THE WEEK

Catching myself doing something from memory and actually stopping long enough to document it.

Because even after all these years, I still find little processes hiding in my head like they're paying rent.

They're not.

Eviction notice served.
